Booking deposit:
A 30% booking deposit is required at the time of reservation.
Your place on the trip will only be confirmed once the booking deposit has been received by The Sports Guru.
If the booking is made after the final payment deadline, the full trip price becomes immediately due and payable in order to confirm the reservation.
Final payment:
The remaining 70% balance must be paid no later than 60 days before the trip start date.
If the remaining balance is not received by the payment deadline, The Sports Guru reserves the right to cancel the booking without refunding the booking deposit already paid.
Should you require additional time to complete the final payment, you must notify The Sports Guru in writing before the payment deadline. Any extension will be granted solely at the discretion of The Sports Guru.
As a courtesy, The Sports Guru will send payment reminders approximately 14 days before the final payment deadline using the traveller’s preferred method of communication. However, failure to receive a reminder does not relieve the traveller of their responsibility to make payment by the due date.
1- Cancellation by the Traveller:
All cancellation requests must be submitted in writing.
The following cancellation charges apply:
More than 60 days before the trip start date: 30% of the total trip price is non-refundable.
Between 60 and 45 days before the trip start date: 70% of the total trip price is non-refundable.
Less than 45 days before the trip start date: 90% of the total trip price is non-refundable.
The remaining 10% will be issued as The Sports Guru Travel Credit, valid for 12 months from the cancellation date and redeemable against any future trip operated by The Sports Guru, subject to availability and any applicable price difference.
If the applicable cancellation charges exceed the amount already paid, the traveller remains responsible for paying the outstanding balance of the cancellation charges.
2- Visa Rejection:
If a traveller’s visa application is officially rejected, any amounts paid will be refunded, less any non-recoverable costs already committed by The Sports Guru, provided that all of the following conditions are met:
The visa application was submitted at least 90 days before departure.
Official proof of the visa refusal is provided.
All requested documentation is submitted within seven (7) days of receiving the visa refusal.
3- Cancellation by The Sports Guru:
If The Sports Guru cancels the trip for reasons other than Force Majeure, travellers may choose between:
A full refund of all amounts paid; or
Transferring their booking to another available departure.
4- Force Majeure:
If the trip cannot operate due to circumstances beyond the reasonable control of The Sports Guru or the traveller, including but not limited to:
Natural disasters
Government restrictions
War
Pandemics
Civil unrest
Other extraordinary events
all amounts paid will be converted into The Sports Guru Travel Credit.
The travel credit:
is valid for 12 months from the original departure date;
may be used towards any future trip operated by The Sports Guru;
is subject to availability and any applicable price difference.
No cash refunds will be issued in cases of Force Majeure.
5- Replacement Traveller:
If a traveller is unable to participate, they may nominate another suitable person to take their place, subject to:
Approval by The Sports Guru;
Acceptance by the relevant suppliers; and
Payment of any supplier amendment fees or administrative costs.
Where a replacement traveller is accepted, the applicable cancellation charges may be waived, except for any actual costs incurred in processing the change.
6- No refunds after departure:
No refunds will be given for:
Unused services;
Missed activities;
Voluntary withdrawal from the trip after departure; or
Early return from the trip.
7- booking confirmation:
A booking is considered confirmed only upon receipt of the required booking deposit.

If The Sports Guru cancels the trip for reasons other than Force Majeure, travellers may choose between:
If the trip cannot operate due to circumstances beyond the reasonable control of The Sports Guru or the traveller (including, but not limited to, natural disasters, government restrictions, war, pandemics, civil unrest, or other extraordinary events), all amounts paid will be retained as a travel credit.
The travel credit may be used towards any future trip operated by The Sports Guru within twelve (12) months from the original departure date, subject to availability and any applicable price differences.
No cash refunds will be issued in cases of Force Majeure.
If a traveller is unable to participate, they may nominate another suitable person to take their place, subject to:

No refunds will be given for unused services, missed activities, voluntary withdrawal from the trip after departure, or early return.

PAYMENT NOTES:
Down Payment:
30% upon confirmation
Payment 1:
60% 1 month before departure
Final Payment:
10% 2 weeks before departure
Down Payment:
30% down payment is non-refundable, except in the following circumstances:
Visa Rejection
A refund of the down payment will be issued only if the client’s visa application is formally rejected and the application was submitted at least three (3) months prior to the scheduled departure date, with official proof of rejection provided.
Cancellation by The Sports Guru or Force Majeure
A refund of the down payment will be issued if the trip is cancelled by The Sports Guru, or if the trip is cancelled due to a Force Majeure event, being an event beyond the reasonable control of both the Company and the client, as determined at the sole discretion of The Sports Guru.
In the event of cancellation by the client for any personal reason, the down payment will not be refunded. In such cases:
10% of the down payment will be forfeited, and
The remaining 20% will be issued as trip credit to the client’s account, to be used toward a future trip with The Sports Guru, subject to availability and standard booking terms.
Less than 1 month to travel:
50% of the total amount is not refundable
Less than 2 weeks to travel:
100% of the total amount is not refundable
NOTES:
1- All payments will be processed in US dollars (USD). Any amount quoted in euros will be converted to US dollars using the official exchange rate.
2- Refund of the down payment will ONLY be made in case the visa application was rejected, AND IF the application was submitted at least 3 months prior to travel.
